1. Who we are
This website, theprocoders.com, is operated by ProCoders ("we", "us"), a remote-first software and AI engineering studio registered in the United States (Dallas, Texas). We are the data controller for the personal data described in this policy.

2. What we collect and why
Contact form. When you use the form on /contact/ we collect the details you enter (typically your name, work email, company and a description of your project) so we can reply to you. The form is delivered to us by Web3Forms, which processes the submission on our behalf and forwards it to our mailbox.
Newsletter. The email address you enter in the footer sign-up is sent to us via FormSubmit so we can add you to a monthly email. You can unsubscribe at any time by replying to any issue or emailing us.
Email. If you email us directly we keep the correspondence for as long as the conversation, and any resulting engagement, is active.
Analytics. We use Google Analytics 4 to understand which pages are read and how the site performs (page views, clicks on contact buttons, form submissions counted as events, and Core Web Vitals timings). Analytics data is aggregated and pseudonymous; we do not send names, email addresses or message contents to Google Analytics.
Server logs. Our hosting provider records standard request logs (IP address, user agent, requested URL, timestamp) for security and capacity purposes.
4. Legal basis
Where UK or EU data protection law applies, we rely on: our legitimate interest in responding to enquiries, running and securing the website and understanding how it is used; your consent for the newsletter; and the performance of a contract when you become a client.
6. How long we keep data
Enquiries and related email are kept for up to 24 months after the last contact, or for the duration of a client engagement plus the period our accounting and contractual obligations require. Newsletter addresses are kept until you unsubscribe. Google Analytics data is retained for 14 months. Hosting logs are retained by our provider for a short rolling period.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email contact@theprocoders.com. We respond within 30 days. If you are in the UK or EU you can also complain to your local data protection authority.
8. Security
The site is served over HTTPS only, with HSTS and a content security policy. Enquiries are stored in access-controlled mailboxes. No method of transmission is completely secure, so we cannot guarantee absolute security, but we design our own systems and our clients' systems with the same care.
9. Children
This site is intended for businesses and we do not knowingly collect data from anyone under 16. If you believe a child has sent us data, contact us and we will delete it.
10. Changes to this policy
We will post any changes on this page and update the date at the top. Material changes affecting how we use data you have already given us will be announced by email where we have your address.
