WhatNextAI was growing well at the top of funnel but losing 70% of sign-ups before they ever tried the core product. The team had built a great onboarding email sequence, but users were ignoring email.
They wanted to meet users where they actually were: WhatsApp. And they wanted the experience to feel like a real conversation, not a chatbot.
Email didn't fit the audience.
The product's audience, first-time founders and small operators, lived on WhatsApp. Email open rates sat below 18%, and the gap between sign-up and a meaningful action averaged over six days.
The team had tried bots before. None of them sounded human. Every one of them had been deleted within the first chat. The bar wasn't "build a chatbot", it was "build something users actually want to talk to."
Three layers, one conversation.
We split the system into three layers and shipped them in order:
- Voice & persona. GPT-4 with a tightly tuned system prompt, vocabulary anchors from real conversations the founder had had with happy users, and explicit rules for when to escalate to humans.
- Workflow plumbing. n8n nodes connecting WhatsApp Business API, the WhatNextAI database, and Slack for handoffs. Every conversation logged with rich metadata for later evals.
- Outcome instrumentation. A clear definition of "activated" and live dashboards tied to it, so the team could see the bot's impact daily, not in a quarterly report.
